Profit report. The real interface, filled with invented demo data.

By hand, and with Keystone OS.

By hand today

At month end, someone exports sales from each shop, pulls costs from supplier invoices, copies expenses off the bank statement, and rebuilds the profit report in Excel. The formulas break whenever a branch or a category is added.

Stock given away, used as samples or written off never makes it in, so the profit figure is higher than the bank balance suggests. The owner sees the report well into the next month, too late to change anything.

With Keystone OS

Sales, cost of goods, expenses and stock that left without a sale are recorded as they happen, so the report is ready when the month ends. The waterfall shows how sales become gross profit and then net profit, and the table lines months up with their margin.

Each branch shows its share of net profit. When the accountant or a partner wants to work the numbers, export the workbook: one sheet per branch, with live formulas rather than pasted values. For the multi-branch retailer we built it for, the report that was rebuilt by hand in Excel each month is now one export.

How it runs.

  1. Pick the period

Month, quarter or year. The figures come from what was already recorded.

  2. Read the waterfall

Sales, minus cost of goods, minus expenses, minus stock out, leaves net profit.

  3. Compare branches

See which branch carries the month and which months moved the margin.

  4. Export the workbook

One file, one sheet per branch, formulas intact for whoever edits it next.

Where it stops.

It does not

  • Does not prepare tax returns; the accountant pack is the handover to your accountant.
  • Does not include spending nobody recorded; the report is only as complete as the expenses entered.
