What one manual task costs you in a year.

Count the people who do a repeated admin task and the hours it takes them. The calculator turns that into hours and money per year.

The working.

Formula

  1. Hours per year: people, times hours per person per week, times 52 weeks.

  2. Cost per year: hours per year times the loaded hourly cost.

Where the defaults come from

  • People doing the task: 2. Change it to the headcount on this one task.
  • Hours per person per week: 5. Change it to what the task really takes; time it for a week if you are unsure.
  • Loaded hourly cost: $0. Enter wages plus the costs that come with them; we cannot guess yours.

Reading the result.

Until you enter an hourly cost, the money line reads zero. The hours line works at the defaults, and it is often the more useful number: it is time your team spends copying, counting and checking.

Measure one task, not all admin. Land automates one workflow, so start with the single workflow that leaks the most time.

Hours returned are not money saved unless the time goes to work that earns, or a hire you no longer need. Read the cost line as the price of the task, not a promised saving.

Automation rarely removes a task entirely: someone still reviews exceptions and approves what the system drafts. If the task takes an hour a week, a shared spreadsheet or a habit may be the better fix.

Questions buyers ask.

What is a loaded hourly cost?

Wages plus what the business pays on top of them for that person, such as taxes, benefits and equipment, divided by the hours they work. If you only know the wage, use it and treat the result as a floor.

Which task should I measure first?

The one done most often by the most people, with the most copying between tools. Common candidates are closing the day, counting stock and building a weekly report.
